Minutes of the Board Meeting on 4 June 2019, kl 18:00

1. Opening of the meeting

Anita greeted everyone and opened the meeting.

2. Approval of agenda

Agenda that was sent out before the meeting was approved.

3. Election of person to certify the minutes

Anna and Bita were elected to certify the minutes together with the chairman

4. Approval of minutes of the previous board meeting

The minutes of the previous board meeting were approved and signed.

5. Visit of Mr. Dent and Ms. Lacasta

- UN Day and Food Festival in autumn 2019 UN Day is on 24 October, which is a Thursday, last week before autumn break. It was decided to move the celebration of UN Day and Food Festival to Wednesday, 23 October.

- Spring Fair 2020 Spring Fair is planned for 30 May.

- Graduation & prom for grade 9s 2020

The ’official’ graduation ceremony will be organised by the school, the dinner & dance is normally organised by PA. Suggestions:

* to hire venue, plan dinner. Ms Lacasta will be happy to work together with PA on that.

* Parents of grade 9s should take the main responsibility, with support from PA.

* Lia suggests that mentors of grade 9s get students involved.

* Discussions on the date. Last day of term is 10 June. Proposed dates are 4th or 5th June.

* Financing - currently PA contributes with 5700 SEK. Plus New Body and Bake sale – around 22,000 SEK. The school is also willing to support with around 300 SEK per head (around 30,000 SEK in total). In addition the classes can organise different sales to collect money.

* Alexandra has contacts with event organisers, band, etc. Ulrika knows a DJ. They will send suggestions.

- The Annual General Meeting for PA will take place on 25 September.

At the school start there will be a meeting with mentors at classes where all parents will be invited. There will also be a general meeting at school hall. Anita will prepare a presentation about what is PA, PA’s expectations and that it is fun! Also about the annual meeting, the fees, that the work we do is pro bono, etc. Anita will also prepare an info mail about it already now.

6. Finances – information from the treasurer

Anita gave the overview.

45,427 SEK - the total amount on the PA account.

23,174 SEK of this was income from Spring Fair, which will be divided between grade years 5-8 (5793 SEK per grade year). Grade 4s will not receive a contribution as they did not participate at the Spring Fair.

22,253 SEK is left after Spring Fair. It was decided to divide it so that each grade year 48 receives 4000 SEK and the remaining 2253 SEK will be left for PA as a start up capital for next school year.

7. Retrospective of Spring Fair 2019 - What worked well/less well and what can we think about for next year.

Mail from Carolina: - clear distribution of responsibilities between PA and teachers

- schema for toilets and guards

- be clear about the prohibition of nuts

- be clear that the money will go back to the children

- have a back-up with Swish?

- review the pricing (e.g. Thai food that was contributed by one of the parents)

Other ideas/thoughts:

- think about the set-up, e.g. something on the parking lot, sumo activities on the grass, etc.

8. Information from school (Lia)

No further information from the school.

7. Upcoming activities

- Annual Meeting on Wednesday 25 September at 18:00 =) send out save-the-date. The notice must be sent out 3 weeks in advance.

- Parentfika in August

- Meeting with parents/mentors in August, the week after the school starts – arrange café there as well.

8. Other business

No other business.

9. Next board meeting

Thursday 15 August.

10. Closing of the meeting

The chairman ended the meeting.
